New features released in WISEflow (March 2025 release)

New features released in WISEflow (March 2025 release)

The latest release for WISEflow (aka AssessmentUCL) goes live on Friday 14th March 2025 and it’s a fairly big one! View the official March release notes and video in Sycamore.

Note: Approximately 4 hours of downtime is expected in WISEflow between 21:00 and 00:00. See all planned downtime in WISEflow (UCL login required)

Features relevant to users at UCL are listed below:

Bulk upload of paper submissions

This feature will allow users with the Manager role to scan and import handwritten submissions on behalf of students in bulk so that even if an assessment has taken place on paper, we can still get all the benefits of online marking. This will initially be available on FLOWassign, FLOWlock and FLOWhandin type flows and support for FLOWmulti assessments is planned for a future release.

If you are interested in trialling this feature, you can get in touch with the Digital Assessment Team to discuss further.

Significant improvements to group work

Group submission with individual grading Workflow

Currently, two workflows for group projects exist in WISEflow:

  • Group submission: one student can submit on behalf of the group, the group receives the same grade and feedback
  • Individual submission: all group members must submit something, each group member receives their own grade and feedback

A third workflow is now being introduced to allow a single submission from the group while allowing Markers to give each of the group members an individual grade. Note that any feedback delivered will still be shared with all group members and offline marking support is not yet available.

Improved group forming information and control

In this release, flow Managers will be able to:

  • Define a minimum and maximum group size
  • Define when students should be able to form their own groups (once a flow is activated, at the start of the participation period or never, if the Manager is setting these up)
  • Copy group settings when copying a flow

This update will also make it clearer to students when group work is expected and whether they are able to form their own groups:

New version of the lockdown browser

The latest versions of the lockdown browser are:

  • Mac: v2.1.3.00
  • Windows (Incl. Lab Version): v2.1.2.10

The new versions will be required from 24 March 2025 and are being deployed to all cluster rooms in advance of this date.

UCL Exclusive Updates

In addition to the global updates listed above, there are also some big changes to our WISEflow license at UCL:

New Marking Tool now the default

The New Marking Tool (also known as the New Marker Journey) became the default tool in use on Friday 7th March 2025. This means that any flows (assessments) created will now use the new marking tool. At this time, users with Manager access can still revert any newly created flows back to the legacy marking tool but this is not recommended as the old version of the tool will be fully deprecated in August 2025.

Changes to sharing feedback (custom assessor roles)

Several months ago custom assessor types were introduced to WISEflow, meaning that marker feedback visibility is now managed at an individual marker level rather than through flow settings. Markers could be added to flows as internal assessors or external assessors, however it wasn’t particularly clear what the key differences were and the external assessor type was frequently confused with the role of an external examiner in WISEflow.

Last week, two new custom assessor types were introduced to address these issues:

  • The Anonymous marker custom assessor type replaces “internal assessor”. As the name suggests, markers who are given this assessor type are anonymised to students. Feedback is shared with co-assessors (other markers, moderators, external examiners, etc.) by default.
  • The Named marker custom assessor type replaces “external assessor”. The names of these markers will be visible to students. Feedback is shared with co-assessors (other markers, moderators, external examiners, etc.) by default.

Impact on New vs. Existing Flows

  • New flows (created after 5pm on 7th March): Markers will be set as Anonymous markers by default when added.
  • Existing flows: The new labels (“Anonymous marker” and “Named marker”) will appear in place of “Internal” and “External assessors,” but this will not change their current visibility to students or feedback-sharing settings.

Users with Manager access can change assessor types on non-archived flows at any time.

We have additionally created an Open marker custom assessor type, which will allow markers to see each other’s submitted grades. Next week the available custom assessor types will be expanded even further to include a blind marker pre-set and a “plus” series, which will automatically release feedback to students at the end of the marking period. The complete list of custom assessor types is available below:

Assessor type
Can View Other Markers Submitted Grades?  Anonymised to students

Anonymous Marker+  No  No  All
Open marking+  Yes  No  All
Blind marking+  No  No  Participants

Complete guidance on custom assessor types will be available on the WISEflow wiki in due course.

Late submission enabled by default

Permission to submit up to 31 days late will automatically be enabled on all FLOWassign and FLOWhandin type flows in order to better align with UCL’s late submission policy for coursework and dissertations. Users with Manager access to a flow can adjust the late submission settings at any time via the Advanced tab:A screenshot of the area where late submission can be adjusted in WISEflow

Final grades released by default

Grades that have been finalised (either through marker agreement or approval by a Reviewer) will automatically be released to students at the end of the marking period along with feedback as standard. As with the changes to late submission, it’s hoped that this will help reduce the number of manual changes that administrative users need to make to the majority of flows being set up.

Users with Manager access to a flow can adjust this setting at any time by clicking Manage settings under the Marking and review panel and editing the option to Show final grades:
